Set up Redtail authentication, users, call pops, logging, and Chrome click-to-call with the integration tutorial.
Overview
Connect Lightspeed Voice to Redtail to use call pop-ups and keep supported call activity with your client records. Follow the setup video and the steps below to assign users, authenticate the connection, enable triggers, and test the integration.
Before You Begin
- An active Lightspeed Voice account with permission to manage integrations
- Valid Redtail login credentials for the user completing authentication
- A Redtail contact with a phone number you can use for testing
- Orbit installed and signed in if your office uses it for call pop-ups
- The Lightspeed Voice Chrome extension if you want click-to-call in Redtail
- NOVA enabled for users who will sync AI summaries or sentiment
Step-by-Step Setup
Step 1: Prepare a Test Contact
Open the contact you will use for testing in Redtail and confirm the phone number is correct. If you need a new contact, open Contacts, choose New Contact, and enter the test details.
Step 2: Create the Integration
Sign in to Lightspeed Voice and open Management > Lead Settings > Integrations. Click the + icon, name the integration Redtail, and select Redtail as the vendor.
Step 3: Assign Users
Assign yourself and the other Lightspeed Voice users who need access to the integration. Confirm each user who will test the connection is included.
Step 4: Authenticate Redtail
Open the integration's authentication option and enter the credentials used to sign in to Redtail. Complete the authentication prompts.
Step 5: Enable Triggers
Review the available triggers and enable the actions your office needs, including call pop-ups and call details logged after hangup. If NOVA is enabled, select the AI summary and sentiment triggers as needed. Save your settings.
Step 6: Review Orbit Call Pops
If your office uses Orbit, keep it running and signed in. Review the Redtail integration's Call Pop settings and select the inbound or outbound behavior you need. See the Orbit desktop tutorial.
Click-to-Call in Redtail
Install the Lightspeed Voice Chrome extension to use click-to-call in Redtail. See the Chrome extension guide for installation and settings. Use a test contact's phone number to check that the call starts through Lightspeed Voice.
Test Your Connection
- Call from the phone number saved on your Redtail test contact and answer with an assigned Lightspeed Voice user.
- Confirm the call pop-up identifies the expected contact.
- End the call and check the matching Redtail record for the call information and recording link when a recording is available.
- Test an outbound call using the Chrome extension if click-to-call is part of your workflow.
- If NOVA and its triggers are enabled, check the call's synced AI summary and sentiment after processing.
Troubleshooting
Authentication fails: Confirm the Redtail credentials work and the user has access to the correct Redtail account.
No call pop-up: Check user assignment, the call pop trigger, the test contact's phone number, and Orbit call pop settings if used.
No call activity: Confirm authentication and the relevant logging triggers, then check the matching contact record.
Click-to-call does not work: Confirm the Lightspeed Voice Chrome extension is installed and enabled for the Redtail website.
No AI summary or sentiment: Confirm NOVA is enabled for the user and the corresponding integration triggers are selected. Wait for processing to finish.
